Do we need to purchase new Big Objects in order to use DataArchiva?

Salesforce offers 1 Million records (Appx. 2GB) of Big Object storage free. If you want to archive data of more than 2GB, then you have to buy additional Big Objects from Salesforce. This is quite cheaper than additional data storage.

Are backups of the Big Objects used to archive data created?

Big Objects data backup can be set up using any third-party ETL tool as it supports all the APIs same as a custom object ( ex: Data Loader )

How does DataArchiva handle restoring a record owned by a user that is now Deactivated?

It will not allow to restore as of now. We have one CR where it will fall back to one active user defined/setup by admin (custom settings).

Are you using Batch Apex to move the archived records? What about the governor limits? What is the ideal time to schedule?

Yes, to move archived records DataArchiva makes use of ‘batch apex’. The archive engine very well honors Salesforce platform governor limits. The archiving job can be scheduled during business hours as well. But, it is recommended to schedule out of business hours.

What happens to the archived records in the source objects? Is it a soft delete and moved to Recycle Bin? Or hard delete?

By default, it is a soft delete. There is a configurable option for hard delete too.

Does the location of the archived data impacts the features and capabilities you offer?

Almost None (most of the major functionalities remain the same irrespective of the storage, but there would be minor changes while setting up the app for the first time).

How to configure archived data access in the Big Objects? How do you ensure the right to access Big Objects while not using role hierarchy & sharing rules?

Big Objects don’t support role hierarchy and sharing rules. DataArchiva retains shared records of each archived records in the Big Objects to evaluate who can see the records. Moreover, Archived data view page uses describe layout metadata API to render the page dynamically.

We have Salesforce Shield for encryption at rest. Can you implement your archiving solution with Shield?

Salesforce Shield does not support Big Objects or outside data store (AWS cloud). So, we built our own encryption tool as part of the product offerings using AES 256 algorithm with key rotation. This solution has been aligned and validated by Salesforce ISV tech team. This tool supports both big object and outside storage out of the box.

Does an external archive imply Salesforce Connect?

It does not use Salesforce connect. It’s custom build part of the product offerings. (called DataConnectiva – similar to Salesforce Connect) (Customer no need to buy any extra add on)

Can I archive a large volume of data at once?

Yes. A large volume of data can be archived using the migration utility feature which is a one-time activity done initially. Our support team can help you with this.

Will the data integrity impacted after archival?

No. Data integrity remains intact between the live and archived data, which can be viewed from the parent record in Salesforce page without having to restore.

Can I encrypt archived data?

Fields of archived data can be encrypted at rest for standard/custom objects. It uses the highest standard of encryption technology and also supports key rotation policy.

Does DataArchiva support Chatter/Feeds?

Yes. It does support Chatter/Feeds.

How can I use my archived data?

Archived data can be used for analytics. You can apply Einstein Analytics on the archived data and get useful business insights.

For Cases having file attachments or emails, what will happen to the file attachments?

DataArchiva takes care of attachments by re-linking relationship internally to retain its content even after parent data is archived. The files/attachments still remain in Salesforce, but we do have another solution called XfilesPro to deal with moving files to the external cloud in case if your file storage requirements are high.

Does DataArchiva support Field History archive?

Yes. DataArchiva has a feature called Field Audit Trail (FAT) which helps in archiving field history data for years. DataArchiva even supports System Audit Trail.

Can I modify my already archived data?

No. Big Objects doesn’t offer data re-write.

Once I archive my data, will it still remain in my primary data storage?

No. DataArchiva is an archiving solution, not a backup solution. So, your data will be archived and stored in Big Objects. This means your data will not be there in your primary storage.

Can I use DataArchiva in Lightning Experience?

Yes. DataArchiva is fully compatible with Lightning Experience.

What will happen to the read-only data after restore?

We convert all the read-only data into JSON format and store it in a field on that object which you are trying to restore.

Where to look for errors if archive failed?

If anything goes wrong, you will get an email notification from the application. However, you can always go and check the audit log section in DataArchiva.

How can I restore an archived record?

There is a restore button available in the application using which you can restore your archived data just by a click.

What is the storage limit of Big Objects?

This being a big data system, large volume of data can be stored in terms of terabytes. There is no official mention of size limit for Big Objects from Salesforce.
